Project Assistant (Translation)

This is a bi-lingual role, English-Mandarin. The incumbent must have advanced verbal and written
communication skills in both languages.
Reporting to the Engineering Manager, the Project Assistant provides confidential support, primarily as
the interpreter for the Manager as well as general administrative duties. The Project Assistant acts as the
translator for the Engineering Manager in both verbal and written forms. The Assistant must interpret
and translate complex technical terms and concepts related to construction, engineering, production
equipment, and regulatory compliance.
The Assistant works with confidential information daily and must understand the responsibility of
following company policy: a non-disclosure and confidentiality agreement is required for the role.
The Project Assistant demonstrates independent judgment in the planning, prioritization, and execution
of projects, assignments and communications. Duties include research and report preparation, the review
and distribution of relevant correspondence and communications, taking meeting notes, delegation of
requests and assisting with other priorities as required.
Working Conditions
The standard office hours are Monday through Friday, 8:30 am to 5:30 pm. Most of the work occurs during
regular weekday office hours. However, as an international company with frequent interaction with head
office, hours of work may vary to accommodate differences in time zones. Flexible hours are required and
may include evenings, nights and weekends.
During the commissioning phase, the incumbent is required to visit the construction site frequently. This
involves exposure to inclement weather, hazards associated with a construction site and frequent
standing, walking and bending. Health and safety training are required, and Personal Protective
Equipment is provided.
When production begins, most work is performed in an office environment. Accompanying the
Engineering Manager on regular inspection of plant utilities and equipment is also required. While
performing the duties of this job, the employee is regularly required to sit. The employee frequently is
required to walk; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The
employee is occasionally required to stand. The employee must frequently lift or move objects up to 10
pounds.
Key Duties and Responsibilities
1. Co-ordinate and manage special assignments and projects on behalf of the Engineering Manager

2. Act as a liaison between the Manager and vendors, partners and employees to ensure timely
communication of information
3. Coordinate, prepare and gather information to assist in the preparation of reports,
presentations, business and operating plan documents and status reports, including following
up with the appropriate individuals
4. Create, format and edit business communications in both English and simplified Chinese
5. Attend meetings, act as recording secretary, manage action item lists and ensure accurate
minutes are compiled and distributed within established timeframes
6. Proactively manage the Engineering Manager’s calendar
7. Protect confidential materials in which they are privy to
8. Translate written communications, including, but not limited to letters, emails and business
presentations from English to Chinese and Chinese to English
9. Translate spoken communications, including, but not limited to telephone calls, individual
meetings and group meetings from English to Mandarin and Mandarin to English
10. Assist with scheduling meetings, arranging itineraries and providing background materials
11. Follow company policies and procedures, Good Manufacturing Practices (GMPs), regulatory,
health and safety, food safety, quality assurance, sanitation and security requirements
12. Perform other duties as assigned

Job Requirements
Education: Post-secondary education in Engineering, Food Science, Food Science Technology,
Computer Science or a related field is required
Experience: Minimum of 2 years of progressively responsible, related experience required;
Minimum 1 years of experience in a support role with business project management experience
an/or business planning exposure. Experience working in translation, construction,
manufacturing or food processing is considered an asset.
Language: Advanced written and oral communication skills in English and Mandarin/Simplified
Chinese. Language skills will be tested.
