Purpose of Job:
As a member of the National Sales Management team, the Manager, Business Operations contributes to building and maintaining a strong platform that supports a high-performance sales force and branch network.
The Manager is responsible to effectively and efficiently manage a number of policies and procedures regarding core ScotiaMcLeod programs including areas such as compensation, performance reporting and Advisor transitions.
The manager is expected to provide day-to-day operational support and ensure that the service provided continues to meet the business need with the utmost efficiency. The manager is expected to be an independent and self-driven learner, researching and developing new skills as required while meeting all expected delivery timelines and keeping management appraised of ongoing issues and concerns.

 

Major Accountabilities:

 

1.    Compensation and Performance
•    Manage policies and procedures regarding advisor compensation and performance, including implementation of policies, annual reviews and grid level adjustments, reporting, and tracking;
•    Manage all grid level changes, end-to-end process;
•    Required to develop strong knowledge of ScotiaMcLeod Advisor code management and PriceMetrix householding methodology. Provide guidance to Branch Management Teams regarding compensation related issues;
•    Assist with the maintenance of the Advisor Compensation policy, ensuring up-to-date information is provided to the field via support calls and WealthNet updates;
•    Maintain the reporting for various programs. Provide required reporting, tracking, and analysis to Senior Sales Management, Regional Offices and Branch Managers. Will require a thorough understanding of the compensation models and recognition programs;
•    Work closely with HR Administration and Payroll regarding compensation and performance related inquires.

2.    Advisor Agreements
•    Provide support in the preparation of various Advisor Partnership Agreements and Succession Plans;
•    Liaise between Branch Management Teams, Regional Management Teams, and provide
•    administrative support on Advisor transitions to ensure deadlines are met efficiently and effectively;
•    Collaborate with support teams (i.e. HR, Insurance, Employment Law Group) as required, to ensure that all items are aligned with the strategic approach of the program.
•    Contribute to decision making and recommendations and escalate issues / concerns for discussion and resolution.
•    Develop a detailed understanding of Advisor Agreements and code management and work closely with HR payroll in assigning and tracking Advisor codes as required.

3.    Recruiting and Onboarding
•    Prepare reporting of all SM recruit contracts, salary and production
•    Review and approve Advisor asset and production bonuses
•    Review and approve loan renewals and annual salary adjustments
•    Liaise between Private Banking, Branch Management Teams and Regional Teams as required to ensure policy alignment
•    Provide annual reporting of outstanding loan balances

4.    Growth Bonus and Family ID Program management
•    Develop an in-depth knowledge of the programs in order to monitor and manage intake and approval processes, all while providing high quality client service.
•    Research, analyze and provide accurate reporting while in collaboration with internal partners and the field. 
•    Extensive knowledge required of multiple systems, processes and programs in order to analyze, troubleshoot and provide resolution on queries.
•    Manage policies and procedures and implementation of new processes and procedures for effective program management. 

5.    Sales Management Policy Support, Project Management and Initiatives
•    Identify opportunities for operational improvements to increase efficiencies and better serve client needs;
•    Provide support on ad hoc projects and initiatives, as required, by the business to ensure alignment with the strategic focus and project plans.
•    Work closely with Senior Management to establish / align the scope and objectives of the initiative / project
•    Facilitate the effective communication of the initiative and ensure all partners are aligned
•    Ensure all guides and text plans are current

6.    Field Management Support
•    Liaise with all levels of Sales Management to drive resolution to business issues in a manner that is aligned to strategy and supports the needs of the field and business.
•    Control, execute and assist with specific requests from the field on policy clarification, data confirmation, operational issue resolution, and special requests.
•    Ability to understand and identify financial data/gaps and ensure data integrity

 

Knowledge
•    Education: University Degree preferred
•    CSC/CPH preferred
•    Brokerage experience preferred
•    Knowledge of compliance and regulatory issues preferred
•    Must have good knowledge of wealth management concepts; financial instruments
•    Knowledge of back office processes; brokerage operational processes and end to end workflows an asset

•    Must possess strong interpersonal and communication (written and verbal) skills in order to effectively work with stakeholders, partners and senior management.
•    The incumbent is expected to use diplomacy, judgment, and persuasion to build and maintain strong working relationships, secure agreement and co-operation.
•    Highly professional and able to exercise discretion when working with sensitive and confidential information.
•    Highly organized, detail oriented and a critical thinker with strong research and drafting skills.
•    Must be a proactive, self-starting, results-oriented and highly motivated individual with a strong ability to reconcile competing or conflicting goals in order to help resolve business problems of varying complexity and meet tight deadlines.
•    Proficient in Excel, Word and to a lesser extent PowerPoint.
•    Continually enhances skills and builds knowledge in all aspects of Wealth Management, technology, financial instruments, regulatory requirements and back-office processes.
