Purpose
Reporting to the Director, Country Relationships & Digital Advisory, the Process Administrator will support the team in delivering and re-designing/automating manual processes.
1. Process re-design
Working closely with the Manager, Country Relationships & Governance,review current cyclical processes within the International Head Office team and re-design the process flows to enhance efficiency and automation where possible.
2. Support expense management activities within the department by:
Review and track the IWM budget on a monthly basis, tracking expenses against approved plan throughout the year and identify out of budget items and where required, escalate for approval.
Tracking the budget and facilitate payment of invoices.
Reviewing all expenses and invoices prepared for payment by the unit and ensuring expense claims are; in accordance with Scotiabank policies, supported by appropriate documentation, verified and authorized according to departments standard procedures.
Facilitating the approval process of all expenses and invoices for the unit according to policy and signing authority limits.
Coordinating the overall TSA/HOSS process for the division and perform quarterly updates to the TSA/HOSS system by analyzing and inputting data received by business lines.
2. Support the IWM Governance Structure
Ensuring all governance folders are up to date with the latest meeting information in a weekly basis
3. Support the BCP reporting and hiring process
Tracking absenteeism rates within the teams, following Global Wealth Management standards.
Deploy the call tree testing.
Ensure the onboarding and offboarding procedure at IWM is standard and consistent across all employees.
Support office moves as needed.
4. Support activities within the team as requested by the Director
Provide ad-hoc support as requested to help achieve the objectives of the team and International Wealth Management.
Education / Experience
Previous experience in re-design or automation of administrative processes is asset
The incumbent should be a self-starter, comfortable with ambiguity and display a willingness to learn new activities.
Due to the collaborative nature of the role, the Process Administrator must possess superior team-working skills.
The incumbent must possess the ability to adapt to a fast-paced working environment, with multiple deliverables at the same time. He/she must display flexibility in everyday tasks while maintaining effective communication to promote and foster a productive working environment.
Due to the nature of the role, it is paramount that the incumbent must be proficient in Excel, Word and PowerPoint.
An undergraduate degree in Business is an asset
